Burial Desk ("we", "our", or "us") is committed to protecting the personal information of burial society administrators, members, and beneficiaries who use our platform. This Privacy Policy explains what data we collect, why we collect it, and how we handle it.

By using Burial Desk, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

We collect the following categories of information to operate the platform:

• Account information: Name, email address, phone number, and password (stored encrypted).
• Society information: Society name, registration details, constitution, and settings configured by administrators.
• Member records: Member names, ID numbers, contact details, contribution history, and attendance records entered by society administrators.
• Beneficiary details: Names and contact information of beneficiaries added by society members.
• Financial records: Contribution amounts, fine records, and payment history tracked within the platform.
• Device and usage data: Device type, operating system, app version, and anonymised usage analytics to improve the platform.

3. How We Use Your Information

We use the data we collect to:

• Provide, operate, and maintain the Burial Desk platform.
• Enable society administrators to manage members, contributions, and meetings.
• Send transactional notifications (e.g. contribution reminders, meeting alerts).
• Generate reports and analytics for society administrators.
• Respond to support requests and inquiries.
• Improve and develop new features based on usage patterns.
• Comply with legal obligations under South African law.

4. Data Storage and Security

All data is stored securely using Google Firebase infrastructure, which applies industry-standard encryption at rest and in transit. Access to society data is controlled by role-based permissions — only authorised society administrators can view and manage member records.

We implement reasonable technical and organisational measures to protect your information against unauthorised access, loss, or alteration. However, no method of electronic storage is 100% secure.

5. Data Sharing

We do not sell or rent your personal information to third parties. We may share data only in the following circumstances:

• Service providers: Third-party tools (e.g. Firebase, analytics providers) that help us operate the platform, subject to data processing agreements.
• Legal requirements: Where required by South African law, court order, or government authority.
• Business transfers: In the event of a merger or acquisition, data may transfer to the new entity under the same privacy commitments.

6. Data Retention

We retain your data for as long as your account is active or as needed to provide services. Society administrators may delete member records at any time. If you close your account, we will delete or anonymise your data within 90 days, unless retention is required by law.

7. Your Rights (POPIA)

Under the Protection of Personal Information Act (POPIA), you have the right to:

• Access the personal information we hold about you.
• Request correction of inaccurate or outdated information.
• Request deletion of your personal information.
• Object to the processing of your information.
• Lodge a complaint with the Information Regulator of South Africa.

8. Children's Privacy

Burial Desk is not intended for use by persons under the age of 18. We do not knowingly collect personal information from minors. Member beneficiary records entered by adults are the responsibility of the society administrator.

We may update this Privacy Policy from time to time. We will notify users of material changes via in-app notification or email. Continued use of Burial Desk after changes take effect constitutes acceptance of the updated policy.
